Our approach as a syndic: managing your co-ownership as if it were our own

At Syncura, everything centres on one principle: we manage your co-ownership as if it were our own. Our approach as a syndic rests on three pillars: lean processes, proactive management and maximum transparency, carried out by specialised professionals and supported by a digital portal that keeps everything organised. The result is smooth, predictable, worry-free management of your co-ownership, today and in the future.

What does a syndic's approach involve, and why does it make the difference?

A syndic’s approach is how they organise the administrative, financial, technical and contractual management of a co-ownership. A good syndic does more than handle admin: they think ahead, anticipate problems and help maintain your property’s value. With more than 40 years of experience as a syndic in Flanders and Brussels, we’ve developed a way of working that combines structure, speed and involvement.

In practice, you can count on:

  • Clear and transparent communication: always straightforward, no surprises.
  • Availability when it matters: we’re there whenever you need us.
  • A strong network of partners: fast, quality solutions for every problem.
  • Experienced professionals: only specialists in their field manage your building.

The three pillars of our approach as a syndic

Lean processes

We’ve optimised every step in managing a co-ownership. By cutting out unnecessary steps and using smart digital tools, every file moves faster with no unnecessary waste. Through group purchasing and framework agreements, we bundle purchases, lower costs for your co-ownership and raise the quality of the services delivered at the same time.

Proactive management

We don’t wait for a problem to appear. Through preventive maintenance and a strategic management plan, we prevent unexpected costs and extend the lifespan of installations. Where possible, we suggest improvements, think energy efficiency or renovations that increase your property’s value, so your building stays not just in top condition, but ready for the future.

Maximum transparency

Transparency is the foundation of trust. All key documents and information (bylaws, minutes, contracts and financial overviews) are neatly organised in one digital portal, accessible to every co-owner. You always know how your co-ownership is doing, where your contributions go and the status of every file.

Our approach in practice: four areas of management

Administrative management

We ensure an accurate, up-to-date base file, smooth correspondence and professional organisation of the general meeting. Decisions are carried out and followed up, and minutes are shared with every co-owner on time. As the central point of contact for co-owners, authorities and suppliers, we keep all administration clear and accessible.

Financial management

We apply double-entry bookkeeping principles for solid, transparent financial administration. This includes a realistic annual budget, requesting advance payments, collecting arrears and building a reserve fund. Through lean budgeting and continuous monitoring, we keep your co-ownership financially healthy and prepared for future challenges, such as the energy transition.

Technical management

We coordinate maintenance, inspections and repairs, from periodic lift inspections to meter readings, and monitor compliance with all legal obligations. We also draw up a long-term plan for renovation and improvement works, with a realistic savings and execution plan that we submit to the general meeting for approval.

Contract management

We arrange the right contracts, monitor their terms and review agreements on time. Thanks to strategic partnerships with reliable suppliers, we secure better prices for your co-ownership without compromising on quality. Clear, transparent agreements are always our starting point.

Digital yet local

Our digital portal is the central hub of our services. Co-owners can access documents and track their file status at any time, giving you ongoing follow-up and continuous access to everything we offer.

But digitalisation doesn’t replace personal contact, it strengthens it. While we invest heavily in digital tools, we stay close to every client. Behind every file stands a real specialist who knows you and is ready to help.

Specialists who never stop learning

Legislation on co-ownership is constantly evolving. That’s why we invest in the ongoing training of our staff through our in-house training programme, so you can count on in-depth knowledge of the Belgian Co-ownership Act and on managers who are specialists in their field, whether it’s an apartment building, a shopping centre, a care facility or a business park. As a syndic accredited by the BIV, we always operate within a clear legal framework.

A tailored approach for your type of property

Not every building calls for the same approach. Managing a large residential complex differs from managing a shopping centre or an assisted living site. That’s why we tailor our approach to the type of property and the complexity of the site, with specialised teams for residential, commercial and care property.

A syndic who acts on their values

Switching to Syncura is easier than you think. Changing syndic happens in a few clear steps, and we guide you through the entire process:

  • Map out your situation. Write down concretely where things are currently falling short, for example in communication, follow-up or transparency.
  • Request a quote for the same scope. That way you compare apples with apples, not just on price but on the full range of services.
  • Decide at the general meeting. The change of syndic happens through a vote at the GM; any co-owner can submit this as an agenda item.
  • We handle the handover. Once appointed, we immediately send a handover checklist and take over files, accounts, supplier contacts and platform access, without any interruption to management.

Frequently asked questions about our approach as a syndic

What makes Syncura's approach different from other syndics?

Our way of working rests on three pillars: lean processes, proactive management and maximum transparency. We combine more than 40 years of experience with a digital portal and specialised teams, so your co-ownership is managed faster, more predictably and more transparently.

It means we prevent problems rather than solving them after the fact. Through preventive maintenance, a strategic management plan and long-term renovation planning, we limit unexpected costs and help maintain your property’s value.

All documents, financial overviews and file statuses are neatly organised in one digital portal, accessible to every co-owner. We also communicate clearly and on time, with clear minutes after every general meeting.

A reliable syndic is accredited by the BIV, works with clear contracts and a transparent cost structure, and gives you access to minutes, invoices and files through a digital portal. They follow up on maintenance and inspections systematically and are available when it matters. At Syncura, these elements are at the core of our approach.

The fee depends on the size and complexity of your building. Syndics typically work with a flat fee for standard services (general meetings, bookkeeping, routine follow-up) and separate rates for additional services such as extra meetings or construction supervision. We provide a detailed, transparent quote up front, so you know exactly what’s included.

Syncura is active across Flanders and Brussels, with offices spread across the country. Find your nearest office on our offices page.

We manage apartment buildings, large residential complexes, shopping centres, business parks, student housing, parking garages and assisted living residences, always with an approach tailored to the type of property.
